Collaboration & Partnership Policy
Effective as of 2026 | All collaborators are required to review and agree to these terms prior to partnering with Elara.
PART I: BUSINESS & VENUE COLLABORATIONS
Elara partners with fitness studios, wellness brands, juiceries, and other businesses to co-host events that are aligned with our mission of empowerment, movement, and intentional living. These partnerships are rooted in mutual respect, equitable effort, and clearly defined expectations. The following terms apply to all business collaborations.
1. Branded Event Ownership
All events conceptualized, created, and marketed by Elara — including but not limited to the Strength Stretch Sound Bath, Soiree Heels Class, and Peach Sculpt Party — remain the exclusive intellectual property of Elara regardless of the hosting venue or partner involved.
Partner businesses may not rebrand, repurpose, or replicate Elara’s event concepts under their own name without express written consent from Elara.
Elara reserves the right to host its branded events with any venue or partner of its choosing.
2. Revenue Split Agreement
Revenue splits must be agreed upon in writing prior to the event date. Verbal agreements will not be honored.
Proposed splits must account for each party’s actual contributions, including: event concept and creation, marketing output, content creation, day-of instruction or facilitation, and overhead costs.
Elara reserves the right to decline or renegotiate any proposed split that does not reflect the value of its contributions.
If a partner’s deliverables are not fulfilled (e.g., marketing commitments, product quality, staffing), Elara reserves the right to request a revised split post-event.
3. Marketing & Promotion Responsibilities
All marketing responsibilities must be outlined in writing before the collaboration is confirmed. This includes: minimum number of posts, stories, reposts, and email blasts from each party.
Both parties agree to actively promote all collaborative content created by either party. This includes reposting partner content within 24 hours of publication.
Failure to fulfill agreed-upon marketing commitments may result in a renegotiation of revenue splits or termination of the partnership.
Elara will not be held responsible for low attendance resulting from a partner’s failure to promote the event as agreed.
4. Product & Amenity Standards
Any products, food, beverages, or amenities offered to attendees as part of the collaborative experience must be agreed upon in writing, including brand, size, quantity, and presentation.
Substitutions of any kind (including but not limited to smaller sizes, off-brand alternatives, or unbranded products) must be approved by Elara in advance.
Failure to deliver agreed-upon amenities as described may result in a reduction of the partner’s revenue share.
5. Day-of Logistics & Venue Access
The hosting venue must ensure that a qualified representative of the business is present at the agreed-upon setup time to welcome, assist, and ensure the space is ready.
Setup access must be granted no less than 45 minutes before the event start time unless otherwise agreed in writing.
Last-minute delegation of access or setup responsibilities to unaffiliated staff without prior notice to Elara is not acceptable and constitutes a breach of the collaboration agreement.
6. Attendee Data & Email Collection
If registration or ticket sales are processed through a partner’s platform, both parties have equal rights to the attendee contact information collected.
Partners are required to provide Elara with a full attendee list (including names and emails) within 48 hours following the event.
Failure to share attendee data constitutes a breach of this policy and may result in Elara taking over all future registration management for joint events.
7. Compensation for Non-Performance
If a partner fails to fulfill two or more of their agreed-upon commitments (marketing, amenities, logistics, data sharing), Elara reserves the right to invoice the partner for the difference in revenue that would have been earned under an equitable split.
In the event of a dispute, Elara’s documented evidence (screenshots, contracts, content records) will serve as the basis for resolution.
PART II: GROUP & CLUB BOOKINGS
Elara offers private group experiences including the Soiree Heels Class and Peach Sculpt Party for organizations, clubs, sororities, fitness groups, and social collectives. The following policy governs all group and club bookings to ensure fairness to both Elara and our clients.
1. Booking Confirmation & Deposit
All group bookings require a non-refundable deposit of 50% of the total package price to secure the date.
A booking is not confirmed until the deposit has been received and a confirmation email has been sent by Elara.
Elara will not hold dates, begin content creation, or begin choreography preparation without a confirmed deposit.
2. Cancellation Policy
Cancellations made 14 or more days before the event date: deposit is forfeited; no additional charges apply.
Cancellations made 7–13 days before the event date: 75% of the total package price is owed.
Cancellations made fewer than 7 days before the event date: 100% of the total package price is owed.
Cancellations due to low sign-up numbers, internal group disagreements, or change of mind do not exempt the client from the cancellation policy. Elara’s time, preparation, and any secured studio costs are non-recoverable.
3. Minimum Guest Requirement & Attendance Changes
All packages have a minimum guest requirement as stated in the pricing structure (typically 6 guests).
The organizer is responsible for confirming and maintaining the minimum headcount. Elara is not responsible for low attendance resulting from the group’s internal coordination.
If the final headcount drops below the minimum, the base package price remains the same.
Additional guests added after booking confirmation must be communicated at least 48 hours in advance of the event and will be charged at the applicable per-person rate.
4. Marketing & Promotion for Group Events
For club or organizational collaborations where Elara creates promotional content for the group’s benefit, the group agrees to share that content across their platforms within 24 hours of receipt.
Elara retains full rights to all content created for the event, including the right to repurpose it for Elara’s marketing channels.
If a group cancels after Elara has created and distributed promotional content, the cancellation fee applies regardless of promotional activity.
5. Rescheduling
One reschedule is permitted at no additional charge if requested 14 or more days before the original event date.
Rescheduling requests made fewer than 14 days before the event will incur a $75 rescheduling fee.
Rescheduled events must take place within 60 days of the original booking date.
6. Space & Location
For Soiree Heels Class: Elara secures the studio/space. Studio fees, if any, are included in or added to the package price and communicated at the time of booking.
For Peach Sculpt Party: Elara travels to the client’s location (home, Airbnb, private park, etc.). The client is responsible for ensuring the space is clear, safe, and ready at the agreed-upon time.
If the provided space is deemed unsafe or unsuitable upon arrival, Elara reserves the right to cancel the event and retain the deposit.
7. Code of Conduct
Elara events are designed to be safe, inclusive, and empowering spaces. Behavior that is disruptive, disrespectful, or harmful to any participant will result in removal from the event without a refund.
The group organizer is responsible for communicating these expectations to all attendees prior to the event.
PART III: GENERAL TERMS
Agreement to These Terms
By booking a group event, submitting a collaboration inquiry, or entering into any partnership with Elara, all parties acknowledge that they have read, understood, and agreed to the terms outlined in this policy. These terms are subject to change; the most current version will always be available on the Elara website.
